Privacy Policy

This policy explains what information KheeraSetu collects, why we collect it, and the choices you have.

1. Introduction

KheeraSetu ("the App", "we", "us", or "our") is a digital platform for dairy cooperative societies, dairy farmers and federation staff. We respect your privacy and are committed to protecting the personal information you share with us. This Privacy Policy describes how we collect, use, store, share and safeguard information when you use the KheeraSetu mobile and web applications and related services (together, the "Services").

By using the Services, you agree to the collection and use of information in accordance with this policy.

2. Who we are

The Services are owned and operated by OMFED — The Odisha State Cooperative Milk Producers' Federation Ltd., the apex dairy cooperative of Odisha, with its head office at D-2, Saheed Nagar, Bhubaneswar-751007. KheeraSetu is a digital initiative operated for OMFED's affiliated district milk unions and primary dairy cooperative societies.

For the purposes of applicable data-protection law, OMFED acts as the data fiduciary/controller for information processed through the Services. Our technology and service partners process this information only on OMFED's instructions and under appropriate safeguards.

3. Information we collect

We collect only what is needed to run a dairy collection and payment system fairly. This includes:

a. Account & profile information

  • Your name, phone number and, where applicable, member or employee identifier.
  • Your role (for example: farmer, society secretary, or weigh-bridge operator) and the society or union you are associated with.
  • Authentication details required to securely sign you in.

b. Dairy & transaction data

  • Milk collection records — quantity, fat, SNF and related quality measurements.
  • Pricing, payment and reconciliation records linked to your collections.
  • Activity logs needed to maintain an accurate, auditable history.

c. Voice input

  • When you use the in-app voice assistant ("Kheera Sahayak"), we process your spoken audio to understand your request and respond. See Section 5 for details.

d. Device & usage information

  • Device type, operating-system version, app version and a device/push token used to deliver notifications.
  • Diagnostic and crash information that helps us keep the app stable.

We do not sell your personal information, and we do not use it for third-party advertising.

4. How we use information

We use the information we collect to:

  • Create and manage your account and verify your role.
  • Record milk collections and calculate fair, transparent payments.
  • Provide the voice assistant and read back your records in your language.
  • Send you in-app notifications about collections, payments and important updates.
  • Maintain auditable records for the cooperative and federation.
  • Provide support, fix problems, and improve the reliability and security of the Services.
  • Comply with legal, regulatory and cooperative-governance requirements.

5. Voice & AI processing

The KheeraSetu voice assistant helps farmers interact in their own language. When you speak to the assistant:

  • Your audio is securely transmitted to trusted speech-recognition and language-AI service providers to convert speech to text and generate an appropriate response.
  • These providers process the audio and text strictly to deliver the assistant feature and under contractual confidentiality and security obligations.
  • We use voice input to fulfil your request and to operate the assistant. We do not use it to identify you for any unrelated purpose.

You can choose to use the App's standard on-screen controls instead of voice at any time.

6. Sharing & disclosure

We share information only as needed to operate the Services, and only with:

  • OMFED's district milk unions and dairy cooperative societies — so that your collections and payments can be administered.
  • Service providers who help us run the platform, such as cloud hosting and database providers (e.g. Google Firebase), speech-recognition providers, and AI language-model providers. They may process data only on our instructions and under appropriate safeguards.
  • Authorities when required by law, regulation, legal process, or to protect rights, safety and the integrity of the Services.

Some of these providers may process data on servers located outside India. Where this happens, we take steps designed to ensure your information remains protected to a comparable standard.

7. Storage & security

We use reputable cloud infrastructure and apply technical and organisational measures — including access controls, encryption in transit, and role-based permissions — to protect your information against unauthorised access, alteration, disclosure or destruction. No method of transmission or storage is completely secure, but we work to protect your data and review our safeguards regularly.

8. Data retention

We keep personal and transaction information for as long as your account is active and for as long as needed to provide the Services, to maintain accurate cooperative and payment records, and to comply with legal, accounting and governance obligations. When information is no longer required, we take steps to delete or anonymise it.

9. Your rights

Subject to applicable law, you may have the right to:

  • Access the personal information we hold about you and request a copy.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your information, subject to record-keeping obligations. See our dedicated Delete account page.
  • Withdraw consent where processing is based on consent.
  • Raise a grievance about how your information is handled.

To exercise these rights, contact us using the details in Section 13. We may need to verify your identity before acting on a request. Note that some records must be retained for cooperative, tax and audit purposes even after an account is closed.

10. Children's privacy

The Services are intended for adults who participate in dairy cooperative activities. They are not directed at children, and we do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can address it.

11. Notifications

We send notifications within the App about your collections, payments and important updates using push-notification services. You can manage notification permissions through your device settings. Disabling notifications may limit timely updates about your account.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you within the App. Your continued use of the Services after an update means you accept the revised policy.
